Position Overview
The Development Associate supports PASE’s fundraising efforts by coordinating projects, strengthening donor engagement, and contributing to the systems and communications that drive philanthropic revenue from individuals, foundations, corporations, and government sources. PASE partners closely with an external consulting firm that leads the drafting and submission of institutional proposals and reports. In this role, the Development Associate serves as a key internal coordinator--working with the CEO, program, and operations teams to gather information, shape responsive program narratives, and ensure consultants have the materials needed to produce high-quality submissions.

A core aspect of this role is building strong relationships across the entire PASE team to develop a deep understanding of PASE's programs, participants, and impact--working collaboratively with staff at all levels to identify funding priorities, develop a wish list of programs and initiatives to pursue, and craft compelling
materials that authentically capture PASE's voice and mission for funders and stakeholders.

The Development Associate plays a key role in keeping the full team aligned on fundraising commitments and deliverables, supporting data collection, tracking outcomes, and continuously finding ways to highlight the impact of PASE's programming. An equally important focus of this role is PASEsetters, PASE's signature fundraising event, where the Development Associate supports corporate sponsorship efforts, maintains timely and thoughtful donor and sponsor communications and acknowledgments, and provides support to the junior board--all while contributing to individual giving, corporate sponsorships, and public funding efforts in close collaboration with the CEO and external partners.

The Development Associate is responsible for maintaining strong organization, accuracy, and followthrough across all development activities--ensuring donor data is up to date, communications are timely, and no key details are missed. This includes managing Salesforce records, tracking outreach and followup, and ensuring donors are properly acknowledged and recognized. PASE is seeking someone who is proactive, detail-oriented, and collaborative, with a high level of discretion and a commitment to
continuous learning--someone who is motivated to grow in the field of development while contributing meaningfully to the organization’s mission and long-term sustainability.

Qualifications

  • Passion for PASE’s mission, with the ability to translate programmatic work and impact into compelling narratives that engage donors, partners, and the broader community.
  • 2-3 years of experience in nonprofits, youth-service program experience a plus.
  • Experience working in or alongside nonprofit program teams, with the ability to understand program goals, outcomes, and impact to translate program work into compelling fundraising narratives.
  • A collaborative working style with an eagerness to build relationships across teams and with external partners, donors, and vendors.
  • Ability to manage multiple tasks and deadlines with care and follow-through, while staying connected to the bigger picture of the organization's mission and goals.
  • Comfort with Microsoft 365 and general workplace technology, including email and calendar platforms; familiarity with Salesforce or another CRM is a plus.
  • Bachelor's degree preferred OR relevant experience in lieu of degree.
  • Strong attention to detail and organizational skills, with the ability to produce accurate, highquality work across a variety of tasks and responsibilities.

Duties

Development & Fundraising (40%)

  • Partner with the CEO, PASE’s development consultants, and external
    lobbyist to support public and private fundraising initiatives, including the
    preparation of funding and grant proposals, reports, and supporting
    documentation to secure and sustain funding.
  • Maintain organized briefing documents, proposal drafts, and fundraising
    documentation so leadership, staff, and development consultants can easily
    access accurate and up to date materials.
  • Serve as a liaison to program team to gather, synthesize, and translate
    programmatic information into high-quality grant proposals, deliverables,
    and funder reports.
  • Support the development of adaptable template language and core
    messaging for proposals, reports, and donor communications, tailored to
    diverse funders including foundations, individual donors, and government
    agencies.
  • Oversee the management of grant portal access, including maintaining user
    access and regularly updating vendor profiles, working closely with
    Operations to ensure accuracy, compliance, and readiness for submissions.
  • Maintain strong cross-functional coordination around development
    activities by tracking deadlines, deliverables, and commitments, ensuring
    consistent follow-through and attention to detail.

Donor Stewardship & Gift Administration (35%)

  • Manage gift processing and donor acknowledgement systems while
    maintaining complete and accurate records in Salesforce, ensuring all
    contributions, interactions, and communications are tracked, and donors
    are recognized in a timely and thoughtful manner.
  • Generate and analyze fundraising reports and donor insights to support
    leadership with developing strategies, informing decision-making, and
    tracking progress toward fundraising goals.
  • Maintain organized systems and use Salesforce to track donor engagement,
    outreach, and follow-up, ensuring no opportunities or commitments are
    missed.
  • Attend donor and funder meetings with the CEO, capture key insights, and
    track next steps to ensure timely and strategic follow-up.

Events & Board Engagement (20%)

  • Provide administrative and logistical support for fundraising events and
    initiatives including coordinating with staff and vendors, preparing donor
    communications and materials, and managing post-event follow-up to
    ensure successful execution and strengthen donor relationships.
  • Provide end-to-end coordination support for PASE fundraising events,
    including managing event details for PASEsetters, overseeing logistics,
    supporting donor engagement, and ensuring timely follow-up to enhance
    event success and fundraising outcomes.
  • Support board members in their fundraising efforts by preparing materials,
    coordinating outreach, and providing timely follow-up to advance donor
    engagement and giving.
  • Support engagement with PASE’s Junior Board by coordinating
    communications and assisting with their participation in fundraising and
    organizational initiatives.

Communications & External Engagement (5%)

  • Work with Communications Manager to articulate and promote PASE’s
    mission and programs across multiple communication channels to engage
    diverse stakeholders and support fundraising efforts.
  • Collaborate with Communications Manager to develop donor-facing
    materials and collateral that effectively communicate organizational impact
    and encourage philanthropic support.
  • Support individual giving and corporate sponsorship efforts by conducting
    research, preparing outreach materials, and tracking engagement and
    follow-up.
