Program Manager
Summary
The Program Manager, All Stars Project of New York (ASP of NY) is a key role that reports to the Director, Youth Programs, ASP of NY and is an essential member of the program team leading the production and execution of the Development School for Youth (DSY), youth performance workshops and events, including the All Stars Talent Show Network and Operation Conversation: Cops & Kids along with other police-community relations work. This position is responsible for managing youth outreach, recruitment, organizing and communications, production, tracking, and volunteer activities designed to extend the impact of the ASP of NY youth programs, as well as leading workshops, interviews, and other program activities. In addition, this position partners with other ASP of NY teams on communications, event production, and cultivation.
The position is a hybrid role and requires some in-person attendance in the ASP New York regional office and the ability to have a flexible schedule, including some evenings and weekends.
Qualifications
- 5+ years of relevant experience
- A background in performance is a plus
- Understanding of poverty-related issues and a demonstrated capacity and commitment to creating educational and developmental opportunities for inner-city youth in outside of school contexts
- Proven capacity to organize and produce events
- Proven capacity to apply independent judgment in planning, prioritizing, and organizing multiple tasks in a diversified workload.
- Strong, proactive team player
- Experience with supervising full-time staff members and volunteers
- Business acumen and excellent verbal and written communication skills
- Superb administrative skills including the use of MS Word, Excel, PowerPoint, and Outlook
- Community organizing skills and demonstrated ability to lead outreach work in poor communities
- Flexibility in schedule; evenings and some weekends required for workshops, phone shifts, special events, and other activities
- A valid driver’s license is required or the ability to access reliable transportation to travel throughout the city and boroughs
- Bachelor’s degree or equivalent experience is preferred
- Experience with Zoom, Microsoft Teams, and other video conferencing platforms preferred
- Experience with Airtable and other database programs preferred
Ability to occasionally lift up to 10 pounds, carry, or move objects to set up for meetings, events, workshops, etc. - Ability to speak fluent Spanish a plus.
Duties
Program and Outreach Management
- Manage the maintenance of the databases for tracking program attendance and requirements.
- Manage ASP’s youth programs admissions process, including the production of student interviews and maintenance of accurate information in the database.
- Create staffing and production plans for all programming activities and events.
- Oversee production of program events including DSY orientations, graduations, receptions, meetings, and weekly workshops.
- Organize youth outreach and volunteer/donor acquisition through community organizing activities such as summer “street outreach/performance”.
- Drive, manage and track youth recruitment (outreach, confirmation calls, interviews).
- Manage the onboarding of volunteers to conduct outreach and phone shifts.
- Manage space use and staff plans with the operations department for all events held at ASP and with appropriate representatives for off-site events and workshops.
- Run and manage program and event budgets.
Event and Activity Producing
- Manage creation, design, and printing of program materials.
- Manage multiple and varied production aspects of all ASP program events for other program initiatives, including but not limited to pre-event administration and day-of production.
- Manage the recruitment of youth and development of youth statements for various ASP events and functions.
- Assist in internship campaign, relating to corporate partners to secure placements, coordinate onboarding, and set up site visits.
- Produce event speakers for youth engagement opportunities, special events, and cultivation activities.
Administration
- Manage multiple, varied production aspects of ASP of NY programs and events, including but not limited to database information management, pre-event production administration, post-production reporting and tracking, etc.
- Manage data input relating to program and workshop events, including inputting in Airtable or other databases, calendars, and other reporting systems.
- Create and disseminate written, verbal, and scripted communication with various constituents, including program participants, program associates, volunteers, and business partners.
- Act as primary point person for all communications with youth.
- Respond to other requests of the Director of Youth Programs.
Management & Supervision
- Supervise direct report(s). Responsible for day-to-day management, training, creating development plans, and conducting annual written and oral reviews.
- Manage the recruitment of volunteers and DSY alumni to participate in community outreach, phone shifts, staffing events, workshops, and talent shows.
